Mistake 1: Not Booking Early Enough

The most common and most avoidable moving mistake is leaving the booking too late. Professional moving companies in Bangkok and Pattaya, particularly on weekends and at month-end, fill their schedules quickly — especially during peak moving seasons (March, July, and December). Booking at the last minute forces you to either accept whoever is available (often with lower service quality), pay a premium for urgent scheduling, or move on an inconvenient weekday. For a standard local move, book at least one week in advance; for long-distance or international moves, four to six weeks minimum. As soon as you have a confirmed lease end date or a property handover date, put your moving company booking in motion.

Mistake 2: Underestimating the Volume of Your Belongings

People consistently underestimate how much they own until they start packing. An apartment that "doesn't have much" routinely produces twice the boxes the occupant expected. Underestimating volume leads to choosing a truck that's too small (requiring multiple trips or an upgrade to a larger vehicle on moving day) and a quote that doesn't reflect the actual job. Before booking, walk through every room, every cupboard, and every storage space and honestly catalogue what needs to move. Better yet, arrange a pre-move survey — either in-person or via a video call where you walk the mover through your home — so the volume assessment is professional and the quote is accurate.

Mistake 3: Not Labelling Boxes Clearly

Arriving at a new home with 40 unlabelled or vaguely labelled boxes is a recipe for a frustrating week. Label every box on at least two sides with the destination room AND a brief contents summary. For international moves, also add the box number and total box count. Invest 30 seconds per box in labelling — it saves hours of searching later. A colour-coding system (one colour per room) works extremely well when you have crew members placing boxes — they can see at a glance where each box belongs without reading text labels.

Mistake 4: Packing Prohibited or Hazardous Items

Moving companies — and particularly international freight carriers — have strict prohibitions on certain items. Aerosol cans, gas canisters, flammable liquids (nail polish remover, paint, petrol), fire extinguishers, and lithium batteries above a certain capacity cannot be shipped. These items are typically discovered during packing or at the destination, causing delays, additional fees, or confiscation. Sort through your home before packing and dispose of prohibited items properly — don't attempt to sneak them through.

Mistake 5: Not Photographing Belongings Before the Move

If anything is damaged during the move and you need to file an insurance claim, photographic evidence of the item's pre-move condition is essential. Before packing, photograph valuable items, fragile items, and the condition of your walls and floors at the origin property. Store these photos in cloud storage with a timestamp. This takes 30 minutes and can prevent a protracted dispute over whether damage occurred during the move or existed beforehand.

Mistake 6: Not Arranging Utilities at the New Property

Arriving at a new property with no electricity, no water, or no working air conditioning on moving day is more common than you'd think. The electricity supply may have been disconnected between tenants; the water may need the meter reconnected; the WiFi installation may be scheduled for a different day. Before moving day, confirm with your new landlord or property manager that all utilities are active. Test the freight elevator and air conditioning in advance if possible. A hot, dark, WiFi-less apartment is a miserable place to unpack.

Mistake 7: Not Confirming Building Access Rules

Every Bangkok condominium and office building has its own rules about moving hours, truck parking, freight elevator reservations, and insurance requirements for moving companies. Some buildings require a deposit from the mover; others require a copy of the moving company's insurance certificate. Failing to check these rules in advance can result in your crew being turned away at the gate or your truck being unable to access the loading bay. Contact building management at both origin and destination properties at least 3 days before moving day to confirm all requirements.

Mistake 8: Choosing the Cheapest Quote Without Checking the Details

Moving quotes can look very different in what they include. The cheapest quote may exclude packing materials, furniture assembly, high-rise surcharges, or insurance. When comparing quotes, check whether each includes VAT, whether packing is included or extra, whether the price is fixed or subject to time overruns, and what insurance coverage is provided. A quote that is 20% cheaper but excludes all of these items may end up costing significantly more on the day. Ask specifically: "Is this a fixed price, and what would cause it to increase?"

Mistake 9: Forgetting to Notify Important Parties of Your Address Change

Moving day is hectic, and address change notifications fall to the bottom of the to-do list. Create a checklist before moving day of every organisation that needs your new address: your employer's HR department, the Thai Revenue Department (if you file Thai income tax), your bank, credit card providers, insurance companies, the post office, your children's school, subscriptions and delivery services, and LINE / social contacts if you have package deliveries sent to your home. Notify these parties in the week before your move, not after — delayed notifications can result in missed mail, incorrect bank communications, and compliance issues for work permit holders who must maintain a current address on their permit.

Mistake 10: Not Doing a Final Walk-Through

Before leaving your old property for the last time, do a methodical room-by-room walk-through — including inside every cupboard, drawer, under beds, in balcony storage, in roof storage areas, and in car parking spaces. Check that all windows are closed, all faucets are off, and utilities are in the state agreed with your landlord. Photograph the condition of the property at move-out for deposit protection. And finally, return all keys, access cards, and parking tokens to the landlord or management office immediately — missing access cards are one of the most common reasons security deposits are partially withheld.
